Every Comma is a limited company registered in the United Kingdom. I offer copywriting, marketing and  communications services to private and public sector organisations in the UK and worldwide.

This policy describes how I protect and use the information you give me. If you are asked to provide information, it will only be used in the ways stated in this policy.

I gather and use information you provide, so that I can:
 

  • Respond to your requests for information (for example, my availability or a quote for the services I provide).

  • Contact you before, during or after a project/job, with queries or updates relating to the work in question, or any additional requests from you.

  • Allow access to any content I share with you.

  • Enable certain functions on this website.

  • Better understand how visitors use this website.


What information do I use?


I use the following minimal information:

  • Name

  • Contact postal address

  • Email address

  • Information relating to your enquiry (e.g. type of project, nature of your business, target audience, key messages and any other details that you supply as part of the briefing process).


How do I use this information?

I use the information you give me as follows:
​

  • For my internal accounting processes (for example, so I can invoice you) and so I am compliant with the UK tax authority, HM Revenue & Customs (HMRC), should it request an audit.

  • To contact you in response to your enquiry, quote or assignment.

  • To give you access to content you have requested.

  • To record your agreement to the terms and conditions of my services.


I will never use this information for marketing or promotion purposes without your written agreement, or unless you have requested or signed up to receive information, or to be notified about news or updates from me.

How does my website use cookies?


A cookie is a small file placed on your computer’s hard drive, which allows my website to identify your computer as you view different pages. Cookies do not give access to your computer or any information about you, other than the information you choose to share with me.

The only way I use cookies is for web analytics, specifically Google Analytics. You can use your web browser’s cookie settings to determine how my website uses cookies. If you do not want my website to store cookies on your computer or device, you can change your settings.

How do I receive information from you?

I receive and use minimal information via the following forms:
 

  • Contact form (via Wix)

  • Booking confirmation and Terms & Conditions form (via email)

  • Creative briefing form (via email)

  • Email (via 1&1)


I will never lease, distribute or sell your information to third parties. I will not share your details with any third party, unless you give me written permission to do so, or I am required to do so by law.

You can ask me to delete your information at any time. Please note: if your information is being held to provide access to content you’ve obtained from me, removing your data will also remove your access.


How do I store your personal information?

The minimal information I collect is stored on the following data servers:
 

  • Wix. This is my website host. It is password-protected and has SSL-certification (https) to provide an additional layer of security. Find out how Wix meets the GDPR requirements or see Wix's privacy policy.

  • Dropbox. This is my cloud-based file management system accessed via my password-protected computer. My Dropbox account is protected by a two-step password-authentication process. See Dropbox's privacy policy.

  • 1&1 Mail. This is the UK-based password-protected server I use to communicate via email. See 1&1's privacy policy.

  • Wix and 1&1 have data servers based in Europe and the United States (US); Dropbox servers are based in the US. They are registered with the EU–​US Privacy Shield.

How long do I keep your data for?

​

  • Because many of my customers and clients work with me more than once, I do not delete data unless specifically requested to do so.

  • As a limited company, Every Comma is required by HMRC to keep records for 6 years from the end of the last company financial year they relate to', or longer under certain circumstances. See 'How long to keep records'.

  • Please ask if you want me to delete or amend your information. As long as I am complying with HMRC's legal requirements, I will action your request immediately.

Who do I share your information with?


No one, unless you ask me to do so in writing, or HMRC chooses to audit my business.
